Terms of Use

The agreement between a school and the workspace

Plain language, because the person accepting these terms is a headteacher with a staffroom to run — not a lawyer.

1. Accepting these terms

Using ALAMA BN CBC Reports means accepting these Terms of Use together with the Privacy Policy and the AI Use statement. Together they are the whole agreement between a school and the platform operator.

The person who registers a school confirms they are authorised to do so for that school — usually the headteacher or a senior member of staff acting for the head.

2. Accounts and approval

3. Keeping credentials safe

The school is responsible for what happens under its accounts. Staff should not share passwords or activation codes, and a headteacher should remove a staff account when that teacher leaves. Sign-in attempts are throttled: five failures lock the attempt for fifteen minutes, which protects the school but also means a forgotten password is recovered through the reset flow rather than by guessing.

Two-factor authentication is offered but not enforced. If your county or board requires it for your school, tell us before you register so we can talk it through.

4. Who owns what

The school keeps its records. Learner data, marks, results, remarks, and every document produced in the workspace belong to the school. We claim no ownership of your content and we do not use it to train a model, sell it, or show it to another school.

We do need a limited licence to do the job: to store, process, display and produce the files your staff request, and to keep backups that let us restore the service. That licence ends when the school's data is deleted.

The ALAMA BN name, interface and the software behind it remain the operator's. Your data stays yours.

5. Acceptable use

You agree not to:

Records must be accurate for the learners in your care. The workspace is a tool for legitimate school administration — marks entered in it are the school's own statement about its learners.

6. AI drafts are drafts

The assistant generates teaching documents and answers only after a staff member asks, and nothing it produces is published automatically. A teacher reviews, edits and approves it. The professional judgement on a scheme, a lesson plan or a report comment stays with the school.

The assistant can be wrong: it may mis-sequence a strand or invent a page reference that does not match your learner's book. That is why the workspace keeps the draft separate from the approved document. Staff should never type learner names or marks into the assistant — see AI Use.

7. Availability and changes

The service is provided "as is". We work to keep it running and to fix faults quickly, but there is no published uptime guarantee, no service-level agreement and no support-response promise unless one is agreed with us in writing.

Two limits are real and worth knowing before a term ends:

We may add, change or retire features. If a change affects a school's records or access, we tell school accounts before or with the change.

8. Ending a school account

A school may stop using the workspace at any time; ask us to delete the school and its data (see Privacy Policy, retention and deletion). Deletion is a hard purge and is not reversible, so export what you need first.

We may suspend or remove access if an account is used to reach another school's records, if the school is not who it registered as, or if continued access would put learners' data at risk. Where we can, we tell the headteacher why and give the school a chance to put it right.

9. Liability

To the extent the law allows, the operator is not liable for indirect or consequential loss arising from use of the workspace — for example a term's marks that have to be re-entered because a school did not keep its exports. Our responsibility is limited to providing the service and fixing faults.

Nothing in these terms excludes liability that cannot lawfully be excluded, including for fraud or wilful misconduct, and nothing affects your statutory rights as a data subject under Kenyan data protection law.

10. Law and contact

These terms are governed by the laws of Kenya, and disputes are handled by the courts of Kenya. If something here is unclear, ask before you register rather than after.
